About You

You are a highly productive self-starter with excellent administrative, relationship-building, communications, and diplomacy skills. You are flexible and resilient, able to adapt to an ever-changing landscape, and pitch in whenever and wherever needed. Strong communication and interpersonal skills with a sharp attention to detail are your trademark. You have proven yourself as someone who can maintain an effective and well-organized office, and you tackle competing priorities with integrity, attention to detail, advanced organizational skills, and sound judgment.

To be successful in this role, you must be able to:

  • Provide overall administrative assistance to the Director of Development and the Advancement Team.
  • Assist with the planning and execution of events, including beginning of school activities, Dexter Southfield Day, Reunion, Grandparents’ and Grand Friends’ Day, alumni events, Parents Association events, and Dexter Southfield Fund donor and other related events.
  • Prepare event-related materials, including nametags, lists, schedules, materials, etc.
  • Manage all Raiser's Edge database-related event activity; pull event lists, manage invitation lists, track RSVPs, and code attendees.
  • Update all event-related website pages, creates online event registrations, and maintains the website’s alumni events calendar.
  • Assist with on-site event execution and help coordinate on-site staffing plans.
  • Assist with the execution of communications and materials (e.g. appeals, invitations, postcards, email blasts, etc.) related to Advancement events. Assist with other communications as requested.
  • Quickly, accurately and appropriately add or change biographical, gift, and prospect management information in the database as needed.
  •  Manage the in-house gift acknowledgement process, including the accurate generation of customized letters for the Head of School, and other colleagues.
  • Manage and coordinate the communications and events calendar.
  •  Create and circulate agenda to team members in advance of Team Meetings.
  • Manage office resources, postage, and supplies. Track and maintain inventory of letterhead and other stationery.
  • Check the Advancement Team mailbox daily.
  • Assist with billing, processing of invoices, and internal budgeting, as requested.
  • Serve as office liaison to Dexter Southfield’s Maintenance Department.
  • Serve as programmatic liaison to the student Advancement Club.
  • Actively contribute to Advancement Team planning and brainstorming sessions; generate ideas and recommend strategies for the betterment of processes, approaches, and new initiatives.
  •  Ability to effectively interact with colleagues, faculty, staff, administration, students, parents, and other community members.
  • Other duties as assigned. 


  • Two or more years of work experience in an office environment
  • Special event planning and execution experience
  •  Working knowledge of Raiser’s Edge database highly desirable
  • Bachelor’s degree
