We are seeking an Assistant Director of Admission & Program Administrator to join our highly collaborative three-member team. This position offers an organized, technically-proficient, and interpersonally skilled professional an opportunity to contribute to both the operational and relational work of a fast-paced and collegial admission department.

Primary Responsibilities

  • Process and respond to all inquiries by mailing out packets daily and following up on the phone when necessary
  • Manage online interview booking calendar, communicate daily interviewer schedules to participating faculty, and delegate and track interview write-up forms in Ravenna
  • Assign student tour guides to visiting families, provide reminders, and troubleshoot last minute changes
  • Coordinate parent volunteers and hosts with the parent liaison
  • Process supporting application documentation, scanning, labeling, and uploading materials to Ravenna
  • Oversee application status of applicants and send completion reminder emails as needed
  • Manage admission event logistics, including submitting event forms, reserving spaces, coordinating with other departments to request set-up, and executing event preparation checklists
  • Conduct prospective family interviews and complete interview notes in a timely fashion
  • Attend Admission Committees and ensure accurate documentation of decisions
  • Proof electronic correspondence and track engagement in Ravenna
  • Build relationships with applying families, maintaining communication, and answering questions
  • Set-up for migration of enrolling students from Ravenna to Blackbaud, coordinate with the registrar to forward matriculating student records

Additional office duties include:

  • Greet admission visitors and manage check-in process for arriving families
  • Responsible for the overall appearance of the office, ensuring that the cleanliness of the office projects the most positive image of Winsor
  • Oversee all Admission Office mailings
  • Answer incoming phone calls and emails and respond within 24 hours
  • Manage office budget and order supplies as needed

Qualifications

  • Bachelor’s degree required, two or more years in a relevant professional setting preferred
  • Excellent written and verbal communications skills
  • Ability to process details with accuracy and maintain a high degree of discretion and confidentiality with sensitive information is required
  • Strong interpersonal skills and ability to work effectively with a wide range of constituencies within the school and the diverse Boston-area community
  • Proficiency with Microsoft Office Suite, Google products, and the Ravenna Admit online application program is highly desired
  • Ability to handle multiple tasks, prioritize competing projects, and execute numerous diverse projects in a timely manner
  • Desire and ability to work independently
  • Multilingual abilities are a plus
  • Ability to work some evenings and weekends during the school year as workload demands
