The Chestnut Hill School, founded in 1860 and located in Newton, Massachusetts, is a co-educational, independent school educating students from Beginners (age 3) through Grade 6. Position Description

The Associate Director of Enrollment Management works closely with the Director of Enrollment Management in support of all admissions functions as well as in the management of student registration and all student data and records as the Registrar.

The Associate Director of Enrollment Management will:

  • Support the mission of the school.
  • Build strong working relationships with all constituencies of the school: all staff, families, administrators and colleagues at other schools.
  • Support daily operations of the Admission Office, including conducting tours and interviews with  prospective families and responding to applicant inquiries.
  • Provide a warm and welcoming point of contact for all families interested in CHS.
  • Complete written documentation regarding each prospective family and assess feedback of applicant families.
  • Work with the Director of Enrollment Management to create statistical reports that reflect an understanding of admissions, marketing and strategy.
  • Work with the Director of Enrollment Management to plan, implement, and assess marketing strategies for CHS.
  • Work with the Director of Enrollment Management to manage financial aid applications and serve on the financial aid committee.
  • Work with the Director of Enrollment Management to develop a relationship with all family volunteers for admission events and host families.
  • Serve on all admission committees.
  • Represent CHS at various recruiting events, fairs and open houses.
  • Work with the Director of Enrollment Management to create systems to chart all admission and attrition.
  • Respond to requests for school records.
  • Maintain family, faculty, and student databases (including but not limited to comments and attendance), ensuring accuracy and developing systems that meet strategic objectives of the school. Oversee related data entry, including DASL and similar associations, for CHS.
  • Prior experience with applications such as Ravenna, inResonance or FileMaker Pro is helpful, though a willingness to approach learning new databases with humor and grit is essential.
  • Oversee posting of student grades and comments.
  • In conjunction with Academic Dean and Executive Assistant and Manager of Technology, help implement a plan for coordinating parent-teacher conferences.
  • Support Executive Assistant with placement document preparation and related workflow.

Requirements for the position:

  • Bachelor’s degree
  • High-energy and enthusiasm about working in an academic atmosphere and with young children
  • Highly developed organizational skills
  • Prior experience in education, technology, and/or admissions
  • Flexibility as the ebbs and flows of the admissions season shift workload.
  • Dedication to a high level of confidentiality
  • Exceptionally capable in both written and oral communication
  • Technologically savvy.
  • Proven success at working collaboratively and efficiently on a creative and goal-oriented team
  • Able to make quick decisions, take initiative, and prioritize tasks
  •  Passionate about the mission and vision of the school
  • Warm and personable with a good sense of humor, considerable patience, and an ability to smile even during a busy admissions season.
