Position: Front Desk Receptionist

Reports to: Head of School; Assistant Head of School

Hours: Full-time

Exempt/Non-Exempt: Exempt

Daily Duties

  • Act as the school's receptionist, greet visitors and parents
  • Answer the phones at all times between 7:45am and 4:00pm
  • Unlock/lock front and side doors
    • Put the phone on day service
    • Check voice messages and notify appropriate staff of absences and late arrivals
  • Check for the cleanliness of the physical space around the front reception area, foyer and staff room space
  • Accept deliveries and distribute mail/deliveries
  • Check that the substitute teachers are in as scheduled- have sub time sheets ready for signatures, submit to Business office for approval/payment
  • Check walkie-talkie, copiers, postage machine, to ensure all are in working order
  • Put phone on night service #1 /all day phone functions
  • Call students’ parent(s) if they are not picked up on time (unless prior arrangement has been made)
  • Escort students to OAS/YAS when needed
  • Caring for ill or injured students that are sent to the front desk- take temperatures, clean cuts, etc
  • Inventory and order supplies for front office
  • Perform necessary administrative tasks: working in Blackbaud by updating student information; making sure that student attendance is up to date
  • Call/communicate to parents when students are unaccounted for

Work in tandem with health office, and other school administrators

Administrative Duties:

  • Phone management and message center- update voicemail and voicemail boxes, extension list printed every Aug
  • Prepare materials and mail to distribute as requested by the business office, advancement office, AHOS and HOS
  • Create and maintain staff absences
  • Prepare and provide census information to requesting local communities

Substitute Teachers & Evening Childcare

  • Schedule substitutes for approved absences and sick days and enter the detail on the Sub Calendar
  • File completed substitute forms in the Substitute book
  • Provide substitute teachers with timesheets and W9’s and be check point upon arrival
  • Organize and arrange for evening childcare for FSS events as needed

 IT

  • Train and assist staff with printing/scanning issues
  • Neopost mailing machine- replace supplies, call for service, train staff on usage, reload funds
  • Printers: troubleshoot issues, schedule repairs/maintenance visits, and order supplies for machines

 General Summer

  • Update staff mailboxes
  • Update front desk speed dial and labels
  • Update necessary forms (staff absence/sub requests, timesheet, check request)

Ad-Hoc

  • Coordinate with parents/tutors/teachers to find spaces for tutors
  • Collect and track payments for misc. items/events (t-shirt sales, play tickets, graduation party payments, Haitian holiday sale for Matenwa, etc.)
  • Coordinate with restaurants/caterers for staff meetings, special events etc
  • Cover lunch and recess duties as needed
  • Make bus and field trip reservations (when necessary)
